Overview

MSWord provides a feature called WordArt for creating drawings in your documents. All the drawings I have seen that have been created using this feature have created problems. The drawings tend to float around on the page and are difficult to manage. Whenever I see one of these drawings in a document coming from someone else, I delete it and recreate the drawing in Visio.

 
Visio

Visio is a dedicated drawing package designed to create process drawings, structures, plans, etc. It provides full control over all drawing elements and enables you to position elements much more accurately than you can in WordArt. It also enables you to draw complex three dimensional drawings.

Visio is a Microsoft product and has full compatibility with MSWord. If you need to draw something, use Visio not WordArt.

 
Insert a Diagram

Once you have created your diagram (in Visio), follow these steps to copy and paste the diagram into MSWord:

  1. In Visio, click and drag across the diagram you have created. Make sure you have selected all the elements in your drawing.
  2. Hit Ctrl+C to copy the drawing.
  3. Switch to your MSWord document.
  4. Click on the location in the MSWord document where you want the drawing to be placed.
  5. Hit Ctrl+V to paste the drawing.
 
Resize a Diagram

A diagram created in Visio will often be too big to fit on the page or too small to be seen. If your drawing is too small, it's probably best to resize the drawing in Visio to ensure that you get maximum resolution when you bring it into MSWord. If your drawing is too big, you can resize it in Word.

To resize a drawing:

  1. Click on the drawing. (A border will appear around the edge of the drawing with eight small, black squares (called handles) placed around the border.
  2. Click, hold and drag the handles at the corners of the drawing to resize it to fit the space you have on the page.

Note: If you use the handles on the sides of a drawing rather than those at the corners, you will distort the drawing. Always use the handles at the corners of a drawing to resize it.
