Bullets and Numbering

| Overview |
One way of making your documents look more professional
is to be consistent in your use of indents for bullets and numbering.
If your bullets are indented consistently, they will produce clean vertical
lines on the page. We'll run through some ways to add bullets and numbering,
then we'll talk about how to fix alignment problems.

Create a Bulleted List

|
The Scribe Template offers two ways to add bullets
quickly. To create a bulleted list using the toolbar:
- Select the text you want to convert to bullets.
- On the Scribe toolbar, click on the Bullets button
.
The Scribe Template also allows you to add bullets using shortcut keys.
To do this:
- Select the text you want to convert to bullets.
- Hit Ctrl+Shift+P on your keyboard.
Note: If you are working in a document produced by someone else, Ctrl+Shift+P
may not work. In this situation, just use the Bullets button. |

| Align
Indents in a Bulleted List |
This may sound a little picky, but I always use
the same bullet indent (0.7 mm) for all bullet points. Again, this is
about consistency and all the benefits we have already talked about.
You don't have to use a 0.7 mm indent, but whatever you use, make it
consistent.
To align bullets:
- Create a bulleted list as described above.
- Click anywhere in the bulleted list.
- Click on Format in the menu bar. (The Format menu
will open).
- In the Format menu, click on Bullets and Numbering.
(The Bullets and Numbering dialogue box will open).
- In the Bullets and Numbering dialogue box, click on the Customize
button. (The Customize Bulleted List dialogue box will open).
- In the Bullet position area of the Customize Bulleted
List dialogue box, change the number in the Indent at:
field to 0cm. (This aligns bullets with the left margin).
- In the Text Position area, change the number in the
Tab space after: field to 0.7cm. (This
sets the position of text after the bullet point to 0.7cm).
- In the Text Position area, change the number in the
Indent at: field to 0.7cm. (This sets
the position of subsequent lines of text to 0.7cm).
- Click OK to close the Customize Bulleted List dialogue
box.

Create a Numbered List

|
Numbered lists are used where
the items in a list relate to a series of steps or follow a specific sequence.
To create a numbered list:
- Select the text you want to convert to a numbered list.
- On the Scribe toolbar, click on the Numbered Bullets button
.

Align a Numbered List

|
As with standard bullets,
consistent alignment of numbered lists will tidy up the appearance of
your documents.
To align a numbered list:
- Create a numbered list as described above.
- Click anywhere in the numbered list.
- Click on Format in the menu bar. (The Format menu
will open).
- In the Format menu, click on Bullets and Numbering.
(The Bullets and Numbering dialogue box will open).
- In the Bullets and Numbering dialogue box, click on the Customize
button. (The Customize Numbered List dialogue box will open).
- In the Number position area, change the number in
the Aligned at: field to 0cm.
- In the Text Position area, change the number in the
Tab space after: field to 0.7cm.
- In the Text Position area, change the number in the
Indent at: field to 0.7cm.
- Click OK to close the Customize Numbered List dialogue
box.

| Restart Numbering in a
Numbered List |
If you have already created a numbered list earlier in your document,
the numbering in a new list may carry on from the previous list. For
example, if your previous numbered list contains five points, your new
list will start at six. Obviously, you want your new numbered list to
start at one again.
To restart numbering in a numbered list:
- Click anywhere in the numbered list.
- Click on Format in the menu bar. (The Format menu
will open).
- In the Format menu, click on Bullets and Numbering.
(The Bullets and Numbering dialogue box will open).
- At the bottom left of the Bullets and Numbering dialogue box, click
on Restart numbering.
- Click OK to close the Bullets and Numbering dialogue
box.
Note: If you want numbering to continue from the previous list, click Continue
previous list at step 4 above. |

| Quick Tip |
MSWord provides a method for
accessing the Bullets and Numbering dialogue more quickly than through
the Format menu. To do this:
- Right click on a bulleted list. (The Onscreen fly-out menu will
open).
- In the Onscreen fly-out menu, click on Bullets and Numbering
…. (The Bullets and Numbering dialogue box will open).
- Make the changes you need to make to your bullets as described above.
- Click OK to close the Bullets and Numbering dialogue
box.
