Printing a Document

 
     
Print Preview

There's nothing worse than printing a 200 page document only to find there is a mistake in the footer that has affected every page in the document. Before you print a document, it's a good idea to check that all your pages are formatted correctly. Doing this will save paper (and money), save you having to reprint the document and save some trees in the process. You can preview a document using MSWord's Print Preview function.

To preview a document before printing:

  1. Click on File in the menu bar. (The File menu will open).
  2. In the File menu, click Print Preview. (Your document will be opened in print preview mode.
  3. Check that your document looks alright on the page and that you are ready to print. Make changes where necessary.
  4. Click the Close button to close Print Preview mode.
  5. Print your document.
Note: You cannot make changes in Print Preview. Close Print Preview and return to your document if you find changes that need to be made.
 

Print a Single Page

The Print Page button enables you to print a single page of a document. This can be useful if you want to proof a single page or check how a page looks on paper. To print a single page:

  1. Click on the page you want to print.
  2. Click on the Print Page button .
Note: The Print Page button prints the page on which your cursor is located. This may not be the page that is showing on your screen. Make sure you click on the page you want to print before you click the Print Page button.
 
Print Selected Pages

Occasionally, you may want to print selected pages in a document. Page numbers are shown in the bottom left corner of the screen as shown below.

To print selected pages:

  1. Click on File in the menu bar. (The File menu will open).
  2. In the File menu, click Print. (The Print dialogue box will open).
  3. In the Page Range area of the Print dialogue box, click on the radio button beside Pages:.
  4. In the Pages: field, enter the page numbers of the pages you want to print. Separate each page number with a comma, e.g., 1,5,6,9.

  1. Click OK to send the pages to the printer.
 
Print a Range of Pages

MSWord enables you to print a selected range of pages. For example, you may want to print page 10 to page 15 of a document.

To print a range of pages:
  1. Click on File in the menu bar. (The File menu will open).
  2. In the File menu, click Print. (The Print dialogue box will open).
  3. In the Page Range area of the Print dialogue box, click on the radio button beside Pages:.
  4. In the Pages: field, enter the start page number, then a hyphen, then the end page number, e.g., 10-15 will print pages 10 to 15 of your document.
  5. Click OK to send the pages to the printer.
 
Print a Section

If your document is divided into sections, MSWord allows you to print specific sections. For example, you may want to print a table of contents (usually section 2) to show others the structure or topics covered in your document. Section numbers are shown in the bottom left corner of the screen as shown below.

To print a section:
  1. Click on File in the menu bar. (The File menu will open).
  2. In the File menu, click Print. (The Print dialogue box will open).
  3. In the Page Range area of the Print dialogue box, click on the radio button beside Pages:.
  4. In the Pages: field, enter an 's' followed by the number of the section you want to print, e.g. 's2' will print section 2 of your document.
  5. Click OK to send the pages to the printer.
 
Print a Page Range within a Section MSWord enables you to print a range of pages within and across sections. To print a range of pages within a section:
  1. Click on File in the menu bar. (The File menu will open).
  2. In the File menu, click Print. (The Print dialogue box will open).
  3. In the Page Range area of the Print dialogue box, click on the radio button beside Pages:.
  4. In the Pages: field, enter the page range you want to print, e.g., 1s3-10s3 will print from page one section 3 to page 10 section 3.
  5. Click OK to send the pages to the printer.

Note: To print a range of pages across sections, specify the sections numbers, e.g., 1s3-10s5 will print page one section 3 to page 10 section 5.
