Adding and Formatting Page Numbers

 
     

Insert a Page Number

When writing business documents, page numbers are usually added at the right hand edge of each page.

To add page numbers to a document:
  1. Open the footer.
  2. Set up tabs in the footer as described above.
  3. Click on the paragraph mark in the right hand margin of the footer.
  4. On the Headers and Footers toolbar, click on the Insert Page Number button. (Page numbers will be added to footers throughout the document).
 

Format a Page Number

MSWord enables you to use different page number formats for different sections in a document. For example, you may want to use standard numbers (1, 2, 3 …) as the page number format for the main body of your document, but roman numerals (i, ii, iii …) as the page number format in your table of contents footer.

To format page numbers:

  1. On the Headers and Footers toolbar, click on the Format Page Number button . (The Page Number Format dialogue box will open).
  2. In the Number format: field of the Page Number Format dialogue box, click on the down arrow.
  3. Click on the page number format you require.
  4. Click OK.
Note: If the footers in your document are linked, the changes you make will be reflected across all page numbers in the document.
 

Restart Page Numbering

MSWord allows you to restart page numbering at the start of each new section. This is most often used at the start of a document when you want to disregard the title page and table of contents so that numbering of the main body of your document starts on page one.

Note: The instructions below assume that you have split your document into sections, added page numbers and unlinked sections as required.

To restart page numbering:

  1. Scroll to the first page of the section in which you want to restart page numbering.
  2. Double-click on the footer to open it.
  3. Click on the page number.
  4. On the Headers and Footers toolbar, click on the Format Page Number button . (The Page Number Format dialogue box will open).
  5. In the Page numbering area, click on the Start at: radio button.
  6. In the field to the right of Start at:, use the up/down arrows to set the starting page number. This will usually be '1', but you can set the starting page number to anything you like.
  7. Click OK.
